I would like to have a workflow for credit memos that require an approver before the credit memo can be posted or applied.

Has anyone else created this or can help me with this?

I have attempted to create but it is not working for me.

Is there something specific that I need to have checked off?

I hope you found a solution. I’m currently in the requirements phase for an automated CM Approval workflow at my organization and could benefit from advice/lessons learned.

Let me know if you were successful, any passers by are welcome to comment.

About 4-months ago one of my clients asked that I create a Bill Credit and Expense Report Credit Workflow. After trying a number of things, I could not get it to work successfully, so I logged a ticket with support. They came back with the very common enhancement request response. What you’ll probably run into trouble with, is actually overriding the status – i.e., stopping the credit from being automatically approved / applied.

How do you want the approval process done? How did you try create it and what was the issue?

My organization creates credit memos for two reasons:

    1. Product returns applied via RA form from Sales Order or Invoice (defective, wrong order, customer changed mind, etc)

    2. Financial Credit Memos applied directly from the CM form (customer rebates, management concessions to customers, pricing discrepancies, etc.)

After some additional research and consultation with my organization’s NS admin, the challenge with applying an automated approval workflow directly to the CM form for Financial Credit Memos is the limitations in the native CM status (Open, Fully Applied).

Apparently a common work around is initiating Financial CMs from RA, which have the capacity to facilitate an approval workflow prior to posting a CM.

Coincidentally I was already working on another project to automate an RA approval workflow and automate the resulting CM for product returns.

So it appears that the best solution at my organization is to leverage from the RA approval workflow we’ve already designed to also facilitate Financial CM approval, then retrain users to initiate Financial CMs from RA form instead of the CM form. After the RA is approved the workflow will automatically generate a CM.

Has anyone found that this is the best solution? Anyone found a better solution?

You can create a workflow for a credit memo request, similar to the purchase order and expense approval. First approvals from the manager then thresholds (if secondary approval is needed) The ending result all credit memos are routed to accounting who will convert the request to a credit memo.

Can we modify or copy the purchase order approval so that it applies to the credit memo? Is it a simple workflow or is there some scripting required?

Since there is no status on Credit Memos similar to “Pending Approval”, what transaction did you actually use for your workflow so that it didn’t post to the GL until approved?
