Our current time tracking form hides the department and location as employees will never need to change these when entering time. These fields had always defaulted in for all users based on what was in their employee record. In fall of 2017 this stopped working for some full access users when they logged time using their full access role.

We’ve contacted support, and essentially the result is that it will never be fixed so we’re trying to figure out a way to default all time records to have the employee’s department and location without the employee needing to manually enter them. Is this possible with a workflow or some other process?

Or maybe the way we’ve provided these users access to logging time is causing the issue. Right now we have a custom tab that shows for all roles that provides links to the actions they could previously do with their employee center role. So for time tracking, it’s just a custom center link to https://system.na1.netsuite.com/app/…ns/timebill.nl. Is there a different way to provide full access users to time tracking that will resolve this issue?

The location and department should source in automatically from the employee record. Try adding the fields back to the form, and disabling or setting them to inline if you want to prevent users from changing them.

That said, if you’re not able to get the native functionality to work the way you want, a script or workflow can definitely set the location and department fields.
